Position Summary: Under the direction of the Director of Operations, the Administrative Assistant provides administrative support to Akeela Leadership and other administrative departments as needed for regular daily operations.
Principle Duties and Responsibilities Include but Are Not Limited To:
Answer incoming phone calls, transfer to appropriate personnel, programs, or voice mail, greet visitors and take written messages.
Sort, open and distribute incoming mail, faxes, and organize outgoing mail.
Receive and receipt all monies mailed or delivered to Akeela.
Prepare administrative and clinical department meetings including meeting agendas/minutes, trainings, food ordering, notifications/emails, electronic media upload and paper material packets as required.
Maintain boardroom Teams and Outlook meeting calendars as well as Teams meeting links and setup/preparation of boardroom equipment for in-person and virtual attendees.
Coordinate travel arrangements for clinical staff, with follow-up with the Director of Billing, and Finance Dept.
Assist in coordinating employee appreciation and acknowledgment initiatives and company events.
Conduct monthly inspections as required by licensing and accreditation organizations.
Keep the general building clean and well maintained to ensure optimal safety of staff and visitors.
Requisition training materials and office supplies as needed for, administration operations, clinical programs and special projects.
Assist in maintaining and distributing clinical records according to Akeela Policy & Procedure, Joint Commission, and the Alaska Department of Behavioral Health
Thorough knowledge of standard office procedures, including business correspondence.
Complete other duties as assigned in a timely and professional manner.

Must possess excellent professional telephone skills.
Computer literacy is a must, specifically MS Word, Excel and Outlook for Windows.
Must possess excellent oral and written communication skills.
Must possess excellent time management and organizational skills.
Must be able to prioritize workload.
Ability to work in a team setting cooperatively and effectively.
Ability to work with minimal supervision.
Ability to operate and maintain standard office equipment and environment.
Ability to edit, proof and prepare final error-free copy and ability to prioritize workload.
Education and Experience Requirements:
High school degree or equivalent required.
A minimum of three years progressive office work experience, or a minimum of four years comparable work experience.
Experience with Non-Profit and Behavioral Health Organizations is preferred.
Certified Administrative Assistant preferred.
